Privacy Department Goals

Mission Statement:

The mission of the Privacy Department is to provide a safe community and protect property values for all of Pelican Landing in an efficient, flexible manner.

Vision Statement:

It will be our responsibility to be responsive to the needs of Pelican Landing residents as it relates to their privacy and peace of mind. Our effectiveness is measured by the added sense of comfort we provide our residents.

Goals:

Access Control –

Secure perimeter fencing

Objective: Work with the PIC to be completed by early 2006

Staff the gates 24/7

Objective: Maintain the gate staff at all times 

Maintain an accurate barcode system

Objective: Complete upgrade existing of software by December 2005

Control access through a pass system.

Objective A: Issue passes to guests and vendors.

Objective B: Improve current  system

Maintain and control a photo ID system

Objective A: Update the Beach Island ID Card reader through a laptop system by December 2005

Objective B: Keep the current system 100% accurate

Operate a voice authorization system

Objective A: Achieve 100% utilization

Objective B: Enable access through multiple designated phone numbers.

Update gate operations manual and procedures

To be completed by Dec. 2006

Improve appearance of staff and professionalism

     Objective:  by improve appearance of uniforms.

Protection of Common Property –

Continually check and inspect all amenities

Objective A: Purchase and implement a Proxi Pen System

Objective B: Record inspections

Maintain a comprehensive security camera system

Objective: Purchase and remain 100% operational at all times

Monitor patrol tours through various techniques

Objective: Analyze and make use of the Proxi Pen System

Protection of Residents’ Property & Security –

Respond to house alarms and special requests

Objective: Respond within 5 minutes with one patrol on active duty & within 2 minutes with two patrols on active duty.

Conduct thorough and comprehensive patrol tours

Objective: Reiterate safe patrol practices and analyze patrol DAR’s

Observe and report standard deficiencies

Objective: Report all deficiencies in a timely manner

Confidentially respond to special requests and concerns

Objective:   Meet and listen to the needs of residents

            Traffic Control –

Utilize patrol and radar techniques in conjunction with issuing warnings and tickets

Objective A: Measure and investigate warnings and tickets

Objective B: Issue a yearly report of findings with recommendations for reducing the number of violations.

Provide Front Line Emergency Response –

Keep privacy team certified in AED, CPR & First Aid.

Objective: Have staff 100% certified by December 2006

Assist Bonita / Estero Fire and EMS

Objective: Respond  to location and assist as needed.

Assist Lee County Sheriff Office

Objective A: Provide emergency escorts as needed

Objective B: Improve communication between departments

Implement Hurricane Plan

Objective A: Implement Hurricane plan in a timely fashion

Objective B: Evaluate and update a plan as required

Maintain a peaceful ambiance –

       Respond to noise and behavioral complaints from residents and take appropriate action.

Objective:  Respond within 5 minutes and take appropriate action

       Control vendor access

Objective: Ensure that commercial and service work is done during approved hours.

Resident Communication & Support –

Utilize the community  channel, web site and newsletter

Objective: Have a minimum of 2 articles on each media source

Maintain confidentiality for residents

Objective: To be measured by resident feedback

Work in harmony with committees

Objective A: To be carried out continually

Objective B: Attend and be prepared for the Privacy Committee meetings.

Objective C: Coordinate with Covent enforcement; Standards Committee.

Strive for zero complaints 

Continuous Improvement –

Take Advantage of up to date information and skills from other communities and Law Enforcement Agencies

Objective: Attend Security Managers Meetings

Stay up to date with technology

Objective: To annually evaluate our use of technology

Review of budget annually

Objective: To review with Association Manager

Review and analyze incidents

Objective: Reduce and control incidents

Set objectives and review progress annually

Objective: To review with Association Manager

Hold monthly staff meetings

Objective A: Inform staff of updated policies and procedures

Objective B: Express concerns and suggestions

Allow staff to train through Bonita Springs Fire Department for AED, CPR, and First Aid

Objective: Have the staff 100% certified by December 2006

Attend Customer Service classes

Objective: Send staff members to customer service classes

Attend Security Class D Licensing School

Objective: Have the staff 100% licensed by December 2006
